Job Description

POSITION OVERVIEW:

Provide secretarial and administrative support for the program.  Monitor and maintain all files and Records.  Using office automation products, type routine and complex correspondence, and may be called upon to compose routine correspondence.  May generate flyers and announcements and is responsible for the timely distribution of such documents.

KEY ESSENTIAL FUNCTIONS :

  • Compose routine correspondence, when instructed to do so by the Manager.
  • Answer calls, take accurate messages and route calls to the appropriate party.  Take accurate, detailed messages where necessary.
  • Type routine and complex correspondence accurately. In addition, type Minutes, flyers, announcements, and other communication as required, under supervisor's direction.
  • Provide basic clerical coverage including photo copying, faxing, etc.
  • Schedule appointments and meetings.
  • Provides quantitative and qualitative analysis of program data, including client demographics, utilization, outcomes and assessment data
  • Generates report for program and leadership team to monitor fund spending.
  • Participates in department projects.
  • Meet, greet, and keep track of clients.
  • Manage and update program database(s).
  • Responsible for filing material in the case records, and other filing.
  • Performs relief Reception and other clerical duties as directed by Manager.
  • Other duties as assigned.

EDUCATIONAL / TRAINING REQUIRED:

EXPERIENCE REQUIRED / LANGUAGE PREFERENCE :

  • Minimum of three years of experience in a secretarial/administrative assistant capacity.

COMPUTER SKILLS REQUIRED :

  • Knowledge of PC software (specifically office automation products) including word processing, spreadsheets, and database desktop publishing capabilities.
